Job Summary   

The Operations Coordinator provides key support for our COO and other department leads. The Coordinator’s responsibilities include a range of activities integral to the success of our client facing teams. The position offers an excellent way to obtain significant insight and experience in many high-level functions crucial for operating a successful organization. 

This position requires a highly organized, energetic, and motivated individual able to manage and prioritize multiple tasks; take initiative; maintain a positive attitude; and create and maintain organizational systems. An ideal candidate possesses excellent interpersonal and problem-solving skills, is a team collaborator, and has a solid comfort level with data management tasks and projects.  

Key Responsibilities 

  • Produce forecasting reports that allow for the effective planning, assigning and shifting of resources​ and services
  • Develop and assist with resourcing needs from client teams
  • Run weekly hour reports to ensure teams are following the proper time reporting protocols and procedures 
  • Manage vendor contracts and subscriptions within Fresh Service and maintain the contract library
  • Main point of contact for all billing related inquiries 
  • Quickbooks ongoing management and audit for outstanding balances
  • Manage Support & Service desk for issues 
  • Accounts receivable management and follow up
  • Analyze contracts, SOW, MSA's for our clients
  • Manage Account Receivable process
  • Self starter, motivated individual who thrives in a fast paced environment and has the ability to manage and execute multiple projects/tasks
  • Communicate the results of the business, financial and data analysis.
  • Work alongside Product and Project team to ensure effective delivery and provide operational support
  • Organize, plan and recommend analysis and reports consistent with continuous improvement of processes and procedures. 
  • Recommend, develop, create and implement ad hoc reports for internal teams 

Requirements

  • Bachelor’s Degree preferred
  • MUST HAVE Intermediate level skill in Microsoft Excel 
  • 1+ years of experience in general business environment with project coordination and/or administration experience
  • Computer skills using Microsoft Office and ability to learn a variety of tracking and project management software
  • Familiarity with Jira and Tempo is preferred but not required
